    How to pack and move your office successfully

    Packing and moving your business office is similar to packing a home. But, anyway, even if you have experience with home moving, you should prepare yourself and your colleagues. So, what should you do when it is time to pack and move your office? Let’s start with organizing and planning, that’s how you will have enough time for everything you want to do.

    Pack and move your office like a pro and make a plan

    Create a timeline and be organized. If you are not moving alone, then talk to your employees and team. Probably you will need 3 to 6 months to finish everything. From packing to changing the documents. Do not forget to see how your new office will look. It is not about the look, check a storage space, electric outlets, size…everything you need for your work. Compare your new office with an old one and see what you can improve and how you can decorate it, after all. Planning and organizing are half of the job, so start as soon as you can and pack like a pro. Maybe you will have to hire painters, decorator or electricians.

    Gather the team and schedule a meeting

    Meetings with a team, lawyer, managers, and counselor are important for you and for them too. Gather a few people to get you with your move, if the office is medium or large. There are so many coordinators you can hire, but if you have a good team, it is not a necessary thing. Also, schedule your regular meeting with employees and colleagues to notify them of your move. Especially if they are moving with you. Tell them all the details and listen to their advice and comments.

    You have to determine your budget, or to stick to the budget company gave you for moving. So, before you start to pack your office and a first box, find out how much you can spend. If your budget is not too large, then try to cut moving costs.

    Even if it is a local move, you will probably need a moving company for your office. Pack and move your office with professionals and your equipment and furniture will be safe. Especially, if you do not have any experience with moving. Right after you find out the moving day, call a moving company and book your move. What will you do if you have to move entire building without moving company? It will probably be a disaster.

    If you want to have a successful business like you already have, then notify everyone that you are moving your office and give them your new company’s address. Notify your suppliers and clients, so they will know how to find your company. The smartest idea is to give this task to the person who will do this right if you have a lot of clients and you are moving far away. For example, if you are moving your business to Japan, you will have a lot more things to do, than if it is a local move. Office moving is complicated when you have to do everything alone. So, be free to ask for help.

    Give yourself enough time for packing your office. Probably it will take longer than you think. After all, it was your second home.

    Moving your office is so stressful, especially if you are changing your job. Because of that, it is easy to forget something, even if it is very important. So, clear your head before you start with packing. Here are some tips on how to pack your office successfully.

    • Filling cabinets – Clean out your cabinets. This job will take you a lot of time, but you have to do it. Go through the files and documents, and talk with your boss what can be recycled and what documents he/she needs. When you pack and move your office, try to think about the others too. So, now when you know what documents you can take with you, sort them (numerically or alphabetically) and put them in the file box. Of course, do not forget to label them.
    • Pack your desk – Now it is time for your desk. Empty your drawers and sort documents. If you do not need your notebooks, pencils, paperclips you can donate them to school, for example. If you know how your new office will look or your employer, consider a new furniture and office supplies.
    • Office equipment – First, if you are responsible for backing up your computer, do it immediately. And, moving your office computer and other equipment (printer, for example) will need proper packaging. Probably, the best solution and the safest for that job is to hire a moving company.
    • Finally, your personal items – Last but not least, your personal items. Your office was your second home, so you can maybe get emotional. Knowing how big is your new office determine how much items you can take, and the rest, take home with you. This is the case for the plants too. If your new office is not good for your plant, then take them.

    Make a checklist

    Just in case make a checklist. That’s how you will not forget anything because it is easy to forget something when you pack and move your office. So, it will help you a lot. Write what do you need to finish 3 months before, 2 months and 1 week before you office moving day. Such as transferring documents or changing address.
